About the Job
Key responsibilities:A. Vendor & Supplier Management
Identify, evaluate, and select reliable suppliers
Maintain strong supplier relationships
Monitor vendor performance and resolve issues
B. Procurement & Purchasing Operations
Create and manage purchase orders (POs)
Ensure timely procurement of materials, services, and equipment
Follow company procurement policies and procedures
C. Cost Control & Negotiation
1. Negotiate prices, terms, and contracts with suppliers
2. Achieve cost savings without compromising quality
3. Conduct price comparisons and market analysis
D. Inventory & Material Planning
1. Coordinate with warehouse and production teams
2. Maintain optimum inventory levels
3. Avoid stockouts, delays, and excess inventory
E. Quality Assurance
1. Ensure purchased materials meet required specifications
2. Work with QC/QA teams to resolve quality issues
3. Reject and return defective materials
F. Documentation & Compliance
1. Maintain vendor contracts, PO records, and GRN documents
2. Ensure timely invoice processing and payment coordination with finance
3. Comply with GST, audit requirements, and company policies
G. Budgeting & Reporting
1. Assist in preparing annual procurement budgets
2. Track purchase expenses and savings
3. Prepare MIS reports, vendor performance reports, and purchase summaries
H. Coordination With Other Departments
1. Work closely with Production, Finance, Logistics, and Warehouse
2. Understand material requirements and timelines
3. Provide updates on material availability and delivery schedules
I. Market Research
1. Monitor market trends, price fluctuations, and new suppliers
2. Identify opportunities for cost optimization
3. Stay updated with industry standards
J. Team Management (If applicable)
1. Supervise purchase executives and assistants
2. Assign tasks and review work
3. Train team members in procurement processes
