About the Job
Key Responsibilities:A. Executive & administrative support:
1. Manage and maintain calendars, appointments, and travel schedules for the leadership team.
2. Prepare and organize meeting materials, presentations, and documentation.
3. Handle correspondence and communications on behalf of leadership with discretion and professionalism.
B. Project & workflow coordination:
1. Assist in tracking progress across ongoing projects, ensuring deliverables and deadlines are met.
2. Support inter-departmental coordination to facilitate smooth project execution.
3. Follow up on action items and ensure timely completion.
C. Client & internal communication:
1. Coordinate with clients for meeting schedules, feedback, and approvals.
2. Prepare briefing notes, client decks, and summaries as required.
3. Act as a communication bridge between leadership and various internal teams.
D. Operational support:
1. Maintain organized systems for document management and information tracking.
2. Support with budgeting, vendor coordination, and other operational requirements.
3. Anticipate needs and proactively offer solutions to improve efficiency.
E. Culture & collaboration:
1. Assist in planning internal meetings, team events, and reviews.
2. Foster a positive and structured work environment.
3. Represent the agency’s professional and creative ethos in all interactions.
