Key ResponsibilitiesInbox Management
1. Monitor and manage both Directors’ inboxes throughout the day.
2. Prioritise emails based on urgency and importance.
3. Draft, reply, or delegate responses as per guidance.
4. Organise emails into relevant folders and ensure action items are tracked and followed up.
5. Flag important communications and ensure nothing critical is missed.
Follow-Ups & Coordination
1. Send gentle reminders and follow-ups to internal and external stakeholders.
2. Track pending replies, documents, or commitments from ongoing email threads.
3. Coordinate communication between Directors and staff to maintain workflow efficiency.
Communication Support
1. Draft and proofread professional emails, letters, and internal notes.
2. Maintain a consistent tone and style of communication reflecting the company’s brand.
3. Ensure confidentiality and discretion in all communications.
Calendar & Task Alignment
1. Align incoming emails with ongoing projects, calendar events, and key deadlines.
2. Coordinate meeting requests and assist in scheduling.
3. Summarise daily email highlights or urgent items requiring Directors’ attention.
