About the Job
The operations & project administration manager will play a central role in ensuring the seamless functioning of ThinkClock’s operations. This hybrid role blends operations management, project coordination, administration, vendor management, finance support, and process organisation. You will work closely with the founders, technical teams, and project partners across India and the UK.Key Responsibilities:
A. Operations & office management:
1. Oversee day-to-day office operations and administrative workflows.
2. Maintain inventory of lab equipment, consumables, and supplies; coordinate procurement.
3. Set up operational processes for new labs, testing facilities, and R&D spaces.
4. Manage vendor relationships (logistics, equipment suppliers, service providers).
B. Project management & coordination:
1. Track project milestones, deliverables, timelines, and dependencies.
2. Assist in preparing project plans, Gantt charts, work package documents, and status reports.
3. Liaise with international consortium partners for alignment and documentation.
4. Support Innovate UK, MNRE India, and other grant projects with reporting, compliance, and documentation.
5. Ensure deadlines and documentation required by funding bodies are met.
C. Finance & accounts coordination:
1. Work with CA/accounting team for bookkeeping, GST filings, vendor payments, and payroll.
2. Track project finances, burn rate, budget utilisation, and cost breakdowns.
3. Support preparation of financial statements, grant claims, and expenditure reports.
4. Manage invoices, quotations, purchase orders, and receipts.
D. Administration & HR support:
1. Assist with onboarding, documentation, policies, and employee coordination.
2. Maintain records, agreements, contracts, and compliance documents.
3. Coordinate travel bookings, meeting scheduling, and calendar management.
4. Handle communications with partners, clients, and internal teams.
E. Process improvement & organisational efficiency:
1. Identify bottlenecks in operations and recommend improvements.
2. Create SOPs for internal processes (procurement, testing workflow, documentation, asset tracking).
3. Support implementation of tools like Notion, Google Workspace, Slack, and project management platforms.
