Key Responsibilities:A. General Administrative Support
1. Answer employee questions and provide necessary assistance.
2. Process incoming mail and route it appropriately.
3. Create, organize, and distribute HR-related documents.
4. Deliver customer service to employees across the organization.
5. Serve as a point of contact with benefit vendors and administrators.
6. Maintain and update HR systems and databases by entering accurate data.
7. Set appointments, arrange meetings, and manage HR calendars.
8. Compile reports and spreadsheets, ensuring data accuracy and timely submission.
B. Recruitment & New Hire Process
1. Participate actively in recruitment efforts from sourcing to onboarding.
2. Post job advertisements and manage applications and resumes.
3. Schedule and assist with job interviews and assessments.
4. Collect employment, identification, and tax documentation.
5. Conduct and verify background and reference checks.
6. Prepare and maintain new employee files and documentation.
7. Oversee completion of compensation and benefits documentation.
8. Orient new employees by setting up log-ins, workstations, and company email accounts.
9. Conduct benefits enrollment sessions and resolve related queries.
10. Serve as the first point of contact for all onboarding-related employee questions.
C. Payroll & Benefits Administration
1. Process payroll accurately, ensuring vacation and sick leave tracking.
2. Address and resolve payroll-related queries and discrepancies.
3. Support in reconciling benefits statements and approving related invoices.
4. Participate in resolving benefit claims and maintaining communication with vendors.
D. Record Maintenance & Compliance
1. Maintain and update all HR files, employee databases, and personnel records.
2. Record and track employee benefits, status changes, and disciplinary actions.
3. Conduct file audits to ensure all employee documentation is complete.
4. Perform payroll and benefits reconciliations and audits, recommending corrective actions when needed.
5. Manage employee exit processes, including termination paperwork and exit interviews.
