About the Job
Key Responsibilities:1. Serve as the first point of contact for visitors, clients, and members, offering a warm and professional welcome.
2. Manage the front office reception area, ensuring it is well-organized, clean, and presentable at all times.
3. Handle incoming calls, emails, and inquiries promptly and courteously; redirect calls and messages to appropriate personnel.
4. Maintain visitor logs, issue visitor passes, and ensure security and confidentiality protocols are followed.
5. Coordinate with housekeeping and maintenance teams to ensure smooth daily operations of the coworking space.
6. Manage booking and scheduling of meeting rooms, conference spaces, and event areas through the internal system.
7. Assist members and guests with check-ins, workspace allocations, and general information regarding facilities.
8. Maintain accurate records of daily walk-ins, visitor feedback, and occupancy reports.
9. Handle courier and mail management, receiving, sorting, and dispatching packages appropriately.
10. Support the operations and community management team in organizing internal events, workshops, and client activities.
11. Manage inventory of office supplies, pantry items, and stationery, and coordinate timely replenishment.
12. Liaise with vendors and service providers for facility management, housekeeping, and other office requirements.
13. Maintain records of invoices, petty cash, and assist in preparing reports for management review.
14. Ensure smooth onboarding experience for new members and provide continuous support throughout their membership.
15. Uphold company policies, maintain professionalism, and ensure confidentiality in all interactions.
16. Assist management in administrative and operational support tasks as required.
