About the Job
Key responsibilities:A. Executive support:
1. Manage the Director’s calendar, schedule meetings, appointments, and business travel.
2. Prepare, review, and maintain correspondence, reports, presentations, and other official documents.
3. Act as a confidential point of contact for internal and external stakeholders on behalf of the Director.
4. Coordinate and facilitate meetings, including agenda preparation, minute-taking, and follow-up on action items.
5. Plan and organize travel arrangements, including flights, accommodations, and transportation.
6. Provide support for special projects such as store openings, product launches, and exhibitions.
7. Maintain a high level of confidentiality and discretion in handling sensitive information.
B. Communication & liaison:
1. Professionally manage incoming calls, emails, and client/vendor communications for the Director.
2. Facilitate timely communication between the Director, employees, clients, suppliers, and external partners.
3. Act as a liaison to ensure seamless coordination across departments and external stakeholders.
C. Office coordination & administration:
1. Oversee daily office operations, including inventory, office supplies, and facility management.
2. Assist HR and other teams with onboarding, employee documentation, and administrative processes.
3. Maintain proper documentation and filing systems for projects, client information, and vendor contracts.
D. Reporting & MIS:
1. Assist in the preparation of MIS reports, data entry, and other reporting requirements.
2. Undertake ad hoc projects and initiatives as assigned by the Director.
