Role OverviewWe are looking for a highly organized, proactive, and dependable professional to support the Founder in executive operations and assist in key HR functions.
This role blends executive assistance with human resources coordination, demanding strong communication, discretion, time management, and organizational skills.
The ideal candidate will be a dynamic multitasker who can manage day-to-day executive operations, coordinate with internal teams, and support people-related initiatives, contributing to a smooth and efficient workplace environment.
Key responsibilities:
A. Executive Support & Office Coordination
1. Manage the Founder’s calendar, meetings, event management, and travel schedules, ensuring optimal use of time and resources.
2. Organize and coordinate internal and external meetings, including agenda preparation, documentation, and follow-ups.
B. Communication & Stakeholder Management
1. Serve as the primary liaison between the Founder, internal teams, and external partners, ensuring smooth information flow.
2. Coordinate with teams such as HR, Finance, Marketing, and Operations to ensure cross-functional alignment.
C. HR Coordination & People Support
1. Support the HR function in recruitment coordination, including scheduling interviews, managing candidate communication, and maintaining records.
2. Assist in onboarding processes, orientation planning, and employee documentation.
3. Maintain and update employee records, attendance, and leave management systems.
4. Help organize team engagement activities, events, and internal communications to strengthen company culture.
5. Support HR in preparing letters, performance trackers, and maintaining compliance-related documentation.
D. Travel, Events & Logistics Management
1. Oversee travel arrangements, itineraries, and logistics for the Founder and Employees.
2. Coordinate logistics for conferences, awards, and corporate events, including vendor and delegate management.
3. Ensure accurate expense reporting, reimbursements, and travel documentation.
4. Provide on-ground administrative and HR support during events and meetings.
E. Relationship Management & Representation
1. Build positive relationships with stakeholders, clients, and team members to foster trust and collaboration.
2. Act as a reliable point of contact for internal staff, ensuring the Founder’s directives and organizational goals are effectively communicated and implemented.
