About the Job
Key Responsibilities:A. Recruitment & employer branding (50%):
1. Source, screen, and schedule candidates across multiple job portals.
2. Shortlist candidates within 2 days of the JD posting and coordinate interviews seamlessly.
3. Follow up with all interviewers for submission feedback within 24 hours.
4. Ensure 100% feedback collection from all candidates, maintaining at least 95% positive feedback.
5. Maintain dashboards tracking hiring velocity, offer acceptance rate, and source performance.
6. Partner with the HR manager to execute internal job promotions monthly and highlight internal growth stories.
7. Develop and manage Optimite’s employer brand presence across platforms (LinkedIn, Instahyre, Naukri, etc.) to attract top talent.
8. Build and maintain proactive candidate pipelines for all current and future roles, ensuring a ready pool of qualified profiles to immediately leverage in case of backouts or new openings.
What success looks like:
1. Time-to-shortlist ≤ 2 days.
2. Candidate feedback positivity ≥ 95%.
3. +25% monthly growth in qualified applicants.
B. Communication & task tracking (25%):
1. Ensure 100% message acknowledgement across departments within SLA (Less than 30 minutes during working hours).
2. Track and follow up on all assigned HR tasks daily using ClickUp.
3. Maintain day-end completion of all communication-linked deliverables and prepare concise daily updates for the HR manager.
4. Support the heads of department in tracking tasks, ensuring full visibility and accountability.
What success looks like:
1. 100% acknowledgment compliance.
2. 95% daily task completion rate.
3. Zero delayed escalations beyond 24 hours.
C. Culture, feedback & engagement (15%):
1. Run monthly pulse surveys and collate insights for the founders’ office.
2. Research and plan team engagement activities, buddy systems, and internal recognition programs.
3. Track and report participation, engagement, and eNPS trends.
4. Maintain a continuous feedback loop, collecting input from employees and candidates to improve culture and experience.
What success looks like:
1. Engagement ritual delivery ≥ 95%.
2. Team participation ≥ 75%.
3. Positive eNPS and retention trend quarter-over-quarter.
D. Onboarding & compliance (10%):
1. Ensure every candidate is warm, well-informed, and joins the day-1 call on time.
2. Coordinate with the HR manager and reporting manager to ensure all onboarding tasks are created and tracked in ClickUp.
3. Make sure 100% onboarding task closure on ClickUp by the end of day 1.
4. Maintain compliance by ensuring all HR checklists, documentation, and acknowledgements are submitted accurately.
What success looks like:
1. Day-1 ClickUp task closure 100%.
2. New hire attendance and engagement 100%.
3. Compliance accuracy 100%.
E. Reporting & analytics:
1. Maintain updated hiring, onboarding, and engagement data in ClickUp and Sheets.
2. Prepare weekly and monthly HR performance and culture reports with the HR Manager
3. Present insights and recommendations for process improvement and culture building.
What success looks like:
1. 100% reporting accuracy.
2. Weekly report delivery by Friday EOD.
3. Zero data errors or mismatches.
